PLANNING YOUR EVENT

1. Deciding the kind of event you want.

Will it be a dinner, reception, or simple beverage service?
Will guests stand, or be seated?
Will it be formal, casual, or in-between?
What is your budget?
Do you want hot food or cold food?
While not every decision needs to be finalized at this point, the more you know what you want, the easier your planning will be.

2. Reserving your room in the University Center.

Contact the Conference Assistant at 816-235-1416. Be sure to select a room that is the correct size for the number of guests and type of function you are planning.

3. Contact the Catering Office.

Making arrangements at the earliest possible date will insure sufficient time to plan all aspects of your event. At least ten days before the event, please contact our catering office to finalize arrangements that may also require making an appointment. This is the time for a thorough discussion of all specifics and details. The catering office is located in the University Center. 816-235-1076.

4. General Information.

  • The approximate number of reservations must be provided at least ten (10) working days in advance of the function. We require a final count 72 hours prior to the event. This count is your guaranteed number. We will be prepared to serve 5% over that number. On the final billing, you will be charged for the guaranteed number or the actual attendance, whichever is greater.
  • An account name or number is required to bill a University related-event. In the absence of this, we ask that a 50-percent deposit be made at the time of guarantee.
  • An invoice will be sent to you following the event. Final payment should be made within 30 days of the event. All invoices over 30 days will be considered past due and will be subject to a 1.5 percent monthly service charge.
  • There is no charge for cancellations made at least 48 hours before the event. Cancellations within 48 hours of the event are subject to a service charge according to the nature of the event.
  • Room set-up in all facilities along with any special equipment needs should be arranged with the Conference Assistant. Room set-up can be arranged while booking your event. Charges will be based upon time and material required to set-up the room according to your specifications.
  • Special table or room arrangements that are not directly related to the serving of food or beverages will be subject to additional charges.
  • Please review, sign and return the final booking order for approval with our Catering Manager. The booking order provides all pertinent information regarding charges and billing procedures.
