Web Liaisons Group Meeting Notes - Monday, October 6, 2008

Purpose of the Web Liaisons Group & WLG Meetings:

  • Act as the implementation arm of any University-wide web policies.
  • To ensure that branding and web standards are correctly implemented in the case of members departments/divisions/offices.
  • Collaboration and information sharing medium with respect to web and electronic communication projects being implemented across campus.
  • Forum to ask for assistance/advice on web projects & offer suggestions on various modules, web software implementations that we as a University should be looking into.
  • A venue for training and presentations by internal and external groups related to electronic communications (web, e-mail, social networks, etc.).
  • Generally, the WLG meetings will be held on the first Tuesday of every month from 9:30 - 11:30 am on the second floor of the Administration Center.

Web Administration Hierarchy:

  • The University is still defining the web administrations hierarchy. A consultant was brought to the university in July and some of those recommendations may be implemented. At this time the following is the rough hierarchy with regards to the administration of the University´s presence on the Web.
  • Level 1: A committee comprising of the Provost and the Vice-Chancellors will meet to determine the University´s priorities on the web.
  • Level 2: Level 1 committee will select Level 2 committee members. These members will be those who can provide resources (staff / money) or influence in name and support. This group will determine which projects need to be established / tackled to meet the priorities identified by the Level 1 committee.
  • Level 3: The Web Liaisons Group is responsible for the actual implementation of the projects established by the other levels.

Structure of the Web Liaisons Group Meetings:

  • We will first cover any new projects/initiatives as put forth by the Level 1 & Level 2 groups.
  • Discuss status/issues with current projects.
  • Short presentations on one/two web related topics.
  • General Question and Answer section.

Modules:

  • Andy Goodenow discussed the idea of modules; independent web components that each department/office is seeking to implement in an effort to solve a particular need for their website.
  • Modules may be developed internally or could be a tool that is purchased from a third party vendor.
  • One such module discussed was the UMKC Web Calendar.
  • The UMKC Web Calendar module was implemented to replace the current antiquated web calendar. It is a software as a service solution (SAAS) that offers individual departments/offices the ability to have their own calendar on their website and have it in turn feed events into one main umkc calendar.

    Current departments/offices participating in the beta include: Admissions, Student Life, Conservatory, and Registrar´s Office. Other departments/offices are in the process of signing up.

    The New Web Calendar will go live on Monday, October 13th 2008. If you are interested in implementing a similar calendar for your department/office website, please email Vishal Kurup (kurupv@umkc.edu).

  • The idea of having a university wide goal of implementing video on the web was discussed. The Notre Dame website was used as an example of how video can be effectively used to communicate a vibrant campus community.
  • Another module discussed was a rotating photo gallery module. The Arizona State University home page was used as an example.
  • Other web sites quickly reviewed included Arizona State University and the University of Nevada-Reno to show consistency in branding between the university home page, academic and non-academic units.
  • Web Liaison Group members are requested to bring ideas for other such modules to the next meeting or email Andy (goodenowa@umkc.edu) or Vishal (kurupv@umkc.edu) or Olivia (deloacho@umkc.edu).

Discussion Topics/Presentations:

  • The latter half of each Web Liaison meeting will feature a presentation or discussion on various web related topics.
  • A potential list of topics was included in the agenda.
  • Web Liaison Group members are requested to send possible topic ideas to either Andy (goodenowa@umkc.edu) or Vishal (kurupv@umkc.edu) or Olivia (deloacho@umkc.edu).

Communication:

  • Web Liaison Group members are requested to communicate how they would like to receive/share information on various topics discussed; SharePoint sites, wikis etc. were suggested as possible solutions.

  • SharePoint is a place to collaborate with your team members, store documents, tasks, and events with a shared calendar. The web site is password protected via SSO. The following features of SharePoint we discussed:
    • Shared documents and versions
    • Alerts
    • Calendar (synchronous with your outlook to share calendar on web)
    • Team contacts
    • Announcements
    • Events and links
    • Search within your team site
    • Recyclable bin: recover accidental deleted files

  • Andy covered Microsoft Expression Web/FrontPage. Discussion included the history of FrontPage at UMKC for web editing, the transition to Expression Web, call center support, pricing and alternatives to Expression Web in particular situations. A small discussion about CMS systems occurred.
  • The Missouri IT Accessibility Standard was handed out; Andy did a general overview on the handout.

Structure Updates:

  • Web Executive Committee member Sarah Morris discussed that the Committee had met twice since inception and was still working on outlining their goals for the UMKC Web.
    • Sarah Morris indicated that the Executive Committee would be interested in receiving recommendations for the overall UMKC web initiative.
    • Discussed possibility of creating a sub-group of the Web Liasions Group that would be responsible for meeting outside of the standard WLG meetings and would make recommendations to the Executive Committee.
    • Sarah Morris indicated that the Executive Committee was of the opinion that suggestions put forth by the Arizona State University consultant (Jake Kupiec) were in line with the University’s overall goals, and that steps taken since that report (formation of the various Web Groups) would move forward irrespective of any changes in the Provost’s office.
    • Sarah indicated that she along with Mary Lou Hines Fritts had met with the Deans of most of the schools (except Dentistry) to discuss their goals for the web and that her office would be willing to share the results with the Web Liaison Group.
    • Sarah also discussed the idea of Quality Experience Committee/Group that would develop a checklist of items that websites would need to abide by. Possibly similar to the existing guidelines: http://www.umkc.edu/webguide/guidelines.asp

Standards Based Web Development using CSS:

  • Vishal Kurup and Andy Goodenow led a discussion on the importance of following web standards when developing websites and applications for the web. Topics discussed included:
    • How CSS allows for complete and total control over the style of a hypertext document.
    • Idea behind CSS is to separate presentation and content. CSS comes in two flavors: CSS1 (released in 1995) and CSS2 (released in 1998). No current browser has a complete implementation of CSS2. Use CSS1 when developing web sites and applications.
    • Sample CSS resources websites such as CSS Zen Garden and the Kauffman Foundation’s website.
    • Discussed how using CSS and standards could result in a much more uniform experience across platforms and browsers.
    • In keeping with standards based development, discussed the importance of validating your XHTML. The W3C Validator is a good resource for the same.
    • Also discussed were some of the potential downsides to developing standards based/CSS based websites: Learning Curve?

Statistics:

  • A brief discussion about web stats occurred during this meeting. Andy discussed Google Analytics and also WebLog Expert, a commercial application that the University has purchased to tracks visitors on our sites.
  • Andy indicated that we have the ability to retrieve data for upto 6 months via the log files.
  • Jim Hisle reminded the group that log files for sites hosted by individual schools would be on their respective servers.

Securing Your Online Forms:

  • Andy Goodenow led a discussion on the need to use CAPTCHAs to secure our online forms in an effort to prevent spam bots for sending spam email.
    • Andy discussed and shared code on reCAPTCHA which is a free CAPTCHA service developed by Carnegie Mellon University that also offers code samples for a variety of programming languages.
    • Use of reCAPTCHA requires a private key. Contact Andy Goodenow for the UMKC private key when implementing the CAPTCHA on your web form.
    • Discussed forcing information transfer to be HTTPS as opposed to HTTP based. Andy provided the following sample links for ASP and Coldfusion.
    • Briefly discussed databases and the fact that IS has now mandated that Access Databases are no longer acceptable for web applications. Oracle and SQL Server are two available options for database driven apps.
    • IS Networking and Security would also like developers to be careful about what information is stored in these databases.

Other Projects Being Discussed:

  • Some other projects that are in the pipeline for next year include:
    • A new virtual tour (with a downloadable walking tour).
    • Flash Streaming Server for the campus
    • Internal Craig’s List application

Executive Committee Updates:

  • Sarah Morris indicated that the Executive Committee had not met again since their last meeting.
  • Sarah also suggested that the Executive Committee was looking to the Web Liaison Group and its various subcommittees to make web related recommendations/push important topics up to them as opposed to the previously intended top-down approach.
  • It was also suggested that the WLG form a quality assurance sub-committee.

University Communications presentation:

  • Sarah Morris and Mary Lou Hines Fritts have been meeting with the Academic Unit Leadership in an effort to get an idea of their vision and goals for their websites. Based on these meetings, they were able to determine that the Deans had the following priorities for the web:
    • Need for additional applications to increase quality and quantity of future students.
    • Improving navigation.
    • Have the sites reflect who we are as a University and who they are as an Academic Unit.
    • Improve quality of content.

University Communications web templates:

  • Alia Herrman and John Verssue of University Communications showcased the template they have developed, their thoughts and processes behind the process and some of their implementations of the same.
  • Some examples included: Women’s Center and the Institute for Urban Education.

Web Advertising Presentation by Andy Goodenow:

  • Andy shared his insights on web advertising costs and benefits. Items discussed included the various types of advertising, Overture and Google Adwords as one possible medium through which University offices could launch an ad campaign on the web.

Web Liaisons Group Meeting Notes - Tuesday, February 3, 2009

KCUR Website:

  • Steve Bell and Patti Cahill talked about the KCUR website and some of the features available to users on the site.
  • KCUR offers their content via podcasts and also via mobile phone streaming.

Web Executive Committee updates:

  • Sarah Morris indicated that the web executive committee met on 2/2/09.
  • Two possible UMKC home page designs were showcased at the meeting and received favorable responses from the executive committee.
  • University Communications discussed their thought process behind developing the two designs and opened up the floor for feedback from the Web Liaison Group.

Some comments about the two designs presented:

  • Some WLG members felt that the logo needs to be presented in its original colors.
  • Some WLG members liked the neutral/white base of the design while others felt like the school’s colors needed to be prominently displayed.
  • A recommendation was made to drop the ´Athletics´ and ´Parents´ buttons.
  • Need for an Alumni/Community button to aid fund-raising?
  • There was a discussion about who the target audience was? – Prospective Students, Current Students, Faculty, Staff, Alumni?
  • Is the menu for the website JavaScript dependent? – No, as per Alia.
  • What is the target screen size for the design : old standard of 800 x 600? or is 1024 x 768 the new norm?
  • The new designs have eliminated the direct links to sites/web applications used by current students – Blackboard & Pathway being examples of the same. The idea being that the UMKC home page is more of a marketing tool than anything else.

To-Do items:

  • Need to establish a Web Advisory Team that makes recommendations to the Executive Team.
  • Need a web project team to analyze web needs and identify potential applications that need to be implemented on the UMKC web and assign resources to the same.

  • Was postponed to our March WLG meeting (On account of time concerns).

Web Liaisons Group Meeting Notes - Tuesday, May 5, 2009

Discussion Topics/Presentations:

  • Alia Herrman & Vishal Kurup will be chairing the WLG meetings going forward.
  • Vishal provided a quick recap of the items discussed at last month’s web liaison group meeting.
  • Vishal indicated that an email was going to be sent out with respect to the starter kit to all the Deans. The email would also specifically mention the WLG and would recommend that the Deans talk to their WLG representatives for more information about the campus wide web initiative and how best to meet any requirements as set forth by the WEG.
  • Sarah Morris provided an update on the Web Executive Group – The WEG unanimously approved the umkc web policy, requirements & compliance schedule that all campus constituents will be required to abide by.
  • Alia discussed the now approved web policy, definitions of official and unofficial pages, and the requirements that all official web pages will need to meet. The website that houses all of the above is currently located on the UMKC Development server and will eventually be moved to the main web server. If you have questions with respect to any of the above, please contact Alia Herrman (herrmana@umkc.edu) or Vishal Kurup (kurupv@umkc.edu).
  • Vishal shared the implementation schedule that was approved by the web executive group. Couple reminders/clarifications with respect to the same:
    • July 1st 2009 – All official and unofficial pages will need to be compliant with the security and legal policies. If you need to schedule a security audit for any of your applications, please contact the Call Center (2000) and have them help you set one up.
    • The implementation schedule relates specifically to meeting the web policy and requirements. This is not a deadline for redesigning your site.
    • If you have concerns about meeting any of the requirements or need assistance, please contact Alia or Vishal as soon as possible.
  • Andy Goodenow discussed some of the upcoming Central Systems changes to folder permissions and publishing methods:
    • New development server in place by June 1.
    • Central Systems will research, plan and implement a procedures or set of instructions by June 1 to transfer files from development to production server.
    • The new development and production servers will have Cold Fusion 8 and ASP.net 3.5 installed on them (This may results in a small percentage of folks needing to tweak their code).
    • Only new content will be allowed on the production server. Central systems will put in place the custom redirect page (same process as last web server upgrade).
    • Cold Fusion and ASP.net are the only approved programming languages on the web servers.
    • Oracle and SQL Server 2003 and above are the approved databases for the web servers.
    • By June 1 Central Systems will have an SSH server in place.
    • No Frontpage access to any server after June 30.
    • All existing folder permissions on the development and production server will be reset during the move.

  • Pat Burch mentioned that UMKC will be moving to Microsoft Sharepoint Designer as opposed to Microsoft Expression Web. Sharepoint Designer is available as a free download from the Microsoft Download Center website. Per Pat, the two applications are almost identical with the exception of certain advanced/rarely used functions.

Web Liaisons Group Meeting Notes - Monday, July 6, 2009

Discussion Topics/Presentations:

  • Vishal provided a quick recap of the items discussed at last month’s web liaison group meeting.
  • Sarah Morris provided an update on the Web Executive Group & the overall web project:
    • We have had a successful launch last week with minimal problems
    • The Last WEG meeting was in June and had two main agenda items – Notification from Sarah that Phase 1 was on-time and on-budget. The Second agenda item being the scope of Phase 2 (which began last week and runs through September 30th)
    • Sarah shared a chart that indicated which sites were being worked on as part of Phase 2 (primarily Student Services sites and a new UMKC Foundation site)
  • Central Systems provided an update on the server move and provided answers to a few questions posed by the WLG. Two important ones are outlined below:
    • Could you please tell us where we are in the process of server changes and also remind the WLG about any important changes to server names?
      • The old (main) web server has now been renamed to web2.umkc.edu and a file based redirect has been placed on the new main web server. The redirect is essentially set up so that if a requested file is not found on the new main web server, it will look for that file on the old web server.
    • Are there any types of pages that the redirect won’t work for?
      • The redirect is only for 404 errors such as missing files and nothing else. Any referencing to path such as in database strings will not work, since they are not web page files. The redirect also won’t work if an empty folder exists on the new (main) web server.
  • Ali Haider showcased Maestro, an email marketing tracking software, that is available to all UMKC offices and departments. It tracks open-up and click-through tracking. Open-up tracking allows you to see who opened the email. The email address will show for confirmation. Click-through is where you track users who clicked on certain links. Maestro comes with four tracking types [personal, anonymous, Unique, Blind].
    • Built in WYSIWYG HTML editor and ability to upload existing HTML email.
    • Flow chart for sending jobs, so users cannot make mistakes if previous step was not completed.
    • Test email before you send out
    • Deliver it immediately or schedule it
    • Great Reporting tool: options to export your report to PDF, XL etc.

  • Maurine Kierl provided an update on the overall Web Project
  • Remember to check the Implementation Schedule/timeline to ensure that your site meets the deadlines set by the WEG. All sites should now be in compliance with the security and legal requirements as outlined on the web policy site.

Discussion Topics/Presentations:

  • Alia indicated that if the WLG or any of their constituents were interested in web training, they could indicate their interest by emailing Beth Mussmann mussmanne@umkc.edu
  • WEBDav to be enabled on the Development Server shortly
  • Matt Tschirhart from Central Systems recommended that if you are using a data source, you also include a detection script of some sort that determines if the connection is down and then display an alternate page or an error message.
