Room Reservations
 

Reserving space for your event


Reservation requests may be done in several ways:

  • In person at the Conference Assistant’s office located on level 1 of the University Center between    8 a.m. to 4 p.m. Monday through Friday.
  • By telephone (816) 235-1416,
  • By e-mail (baxterl@umkc.edu), or
  • On-line. Follow the Request Room Online link, fill out the form and submit.

Please note that all the above are reservation requests, reservations are final only when confirmed by the university center.

One contact person should be designated to make the arrangements for the group to avoid conflicting details.

Meeting room reservations should be made two to three days in advance.  Allow more time for catered events. Requests are taken on a first come, first serve basis.

 

Who is eligible to use the facilities?
 

The University center rooms may be used by

  • Recognized student groups

  • Campus departments

  • Campus affiliates and Campus sponsored groups.

 Any group not affiliated with the University is required to order significant catering from our food service. 

 

 Changing Reservations

 

Changes in reservations should be made at 48 hours before the event by contacting the conference assistant at 816-235-1416.

The University center reserves the right to make room changes in order to accommodate special events and meet the needs of the overall University community. However, such changes are made in consultation with the users and only in critical situations.

 

Cancellations and No Shows


A group may cancel their  room reservation by notifying the University Center at least 24 hours in advance to the meeting/event.   

Catered event cancellations (call 816-235-1076) enquire about cancellation policies.

When a group or individual does not utilize a meeting room reservation and does not communicate to the University Center Office in the timely manner described above, the group or individual will be issued a warning letter for a first time no- show.  Upon a second no-show all remaining semester reservations for the group will be canceled and no additional reservations will be permitted during the remainder of the semester.
