Getting Started

How do I get a box account?

 

All active UMKC Faculty and Staff have Box accounts. If you are a new Faculty or Staff and do not have a Box account please contact the IS Call Center or your departmental IT Liaison. Employees with Courtesy appointments and student workers are not eligible for Box accounts.

 

How do I log in for the first time?

  1. Open a web browser and navigate to https://umkc.box.com. Click Continue on the window:



  2. Enter your UMKC SSO username and password and click Login.



    NOTE: An "Invite Existing Box User" notice appears only if you previously set up a personal Box account and associated it with your UMKC email address. You have the option of merging the data in that account with your UMKC Box account, or you can leave the two accounts separate.



    • To keep the accounts separate, click Cancel. You will need to log in to your personal Box account, change the email address associated with it, and return to the UMKC Box account login page in order to start using your UMKC Box account.
       
    • To merge your personal Box account that is already associated with your UMKC email address with your UMKC Box account, click Invite. You will receive an email with instructions for merging the accounts.
       
      • NOTE: Any data that used to be in your personal Box account will be migrated to your UMKC Box account. Consider carefully whether you want to do this, as the UMKC Box account is for university business.
      • NOTE: It is also critical that your name that was associated with your personal Box account match the UMKC Global Address Book. If you need assistance with this please contact the IS Call Center.

 

How do I add a file to Box?

When you are logged in to the Box site, select the file folder icon at the top of the screen if it is not already selected. Note the empty space in the lower-left quadrant. This is where the files and folders you add to your Box account will be listed.

To add a file to your Box account, drag its icon from a folder on your computer or network share to the blank area as pictured above.

 

 

The file will appear within the Box window. A message at the top of the file list will let you know when the file has completed copying to your Box account.

 

 

 

How do I create new folders and move files inside of them?

  1. Click the New... button toward the top-left of the Box window (if you do not see the New... button, first select the file folder icon at the very top, on the blue ribbon).
     
  2. Select New Folder from the dropdown menu.



  3. Type a name for the folder, click Keep private for now, and then click Okay.



  4. Your new folder will appear alongside information about its size and when it was created.

 

A quick way to move a file inside a folder is to drag the file icon on top of that folder. Click the new folder to view its contents. Then, to return to the top-level directory, click "All Files" toward the top of the page.


 

How to use file tags?

Tags allow you to mark and sort folders or related files that may not be located in the same folders. To create a tag, right click on the file and choose "Add/Edit Tags".

From the pop-up window, you can add tags to a file by either creating new tags or choosing from tags already created in your account. To create multiple tags, simply separate terms with a comma. Individual tags must be less than 256 characters in length.

 

What are other actions can I perform on a file or folder from within the Box website?

Right-click a file or folder to reveal a dropdown menu with additional options.

 

 

How else can I access and use files in my UMKC Box account?

Additional software tools make it even easier to access your UMKC Box account, whether you are using a desktop, laptop, or tablet.

  • Box Sync lets you synchronize your UMKC Box account with a folder on your computer.
  • Box Edit lets you create new files and open them from within the Box website.
  • Box for Office lets you directly open and save documents from within Microsoft Office apps
  • Box Mobile makes it easy to access your UMKC Box account on your smart phone or tablet.

With whom can I share my Box files?

Box is a service that allows you to collaborate with anyone in the world, inside or outside the university system, by using a person's email address.

 

How much storage space (quota) do I get with Box?

The default quota for a UMKC Box account is 50GB.

 

How do I know how much quota I am using?

After logging in to your Box account, your quota is displayed on the right-hand side under the Account heading.

What are the system requirements for Box?

Box.com has a updated list of compatible operating systems and browsers on their website.

 

What size file can I upload to Box?

The file upload limit for UMKC Box accounts is 5GB.

A few best practices for uploading large files:

  • One should not upload more than one large file at a time. Large files constitute anything more than 2GB in size
  • Syncing large files is not recommended
  • If an error occurs during an upload, one will need to remove the file (if it exists) and start over
  • It is highly recommended to do uploads of this size using a wired connection from an enterprise-class Internet connection (i.e. on-campus not via a home connection)

 

How do I transfer ownership of files in Box?

Which file types are ignored and blocked in Box Sync?

There are several file types that Box Sync ignores, including .pst files containing Outlook Personal Folders, hidden files, .bak (backup) files, and others. Are my files and data secure when using Box?

Box adheres to the highest industry standards for security and commits extensive resources to the design, implementation, monitoring, and maintenance of its security infrastructure, including:

  • Data encryption (at rest and in transit)
  • Administrative auditing
  • Password- and time-based file sharing

I already have a personal Box account. What happens to that?

Nothing will happen to your personal Box account, if it was created with a non-UMKC email address. However, if your Box account is based on an @umkc.edu email address, you should change the email associated with your personal Box account to a  non-UMKC address, so it is separate from those in the UMKC-managed space.

If you have an @umkc.edu email address associated with your personal Box account, an "Invite Existing Box User" notice will appear the first time you log into Box after your account has been set up in the UMKC system. You have the option of merging the data in that account with your UMKC Box account, or you can leave the two accounts separate.



To keep the accounts separate, click Cancel. You will need to log in to your personal Box account, change the email address associated with it, and return to the UMKC Box account login page in order to start using your UMKC Box account.

What should I do if I have trouble uploading files to Box?

If you have trouble uploading files to your Box account, try the following:

  • Clear your browser's cache. If you aren't sure how to do that, go to your browser's Help option and search for clear cache
  • Try using Add Files instead of Bulk Upload, or vice versa
  • Make sure you are using a compatible operating system and browser
