Office 365 Student to Faculty/Staff Email Conversion

This spring, UMKC Faculty and Staff have been issued Microsoft 365 accounts. If you are active faculty or staff that also have a student account, you will now two Microsoft 365 accounts. Since employee accounts take precedence, we will be requiring all employees to save or export any data from their student O365 account (including student email) by 5:00pm, March 19th 2020. At 5:00pm on this date we will be deleting the student O365 account and the data will no longer be accessible.


However, we will add your legacy student Username@mail.umkc.edu email address to your employee mailbox so that you can continue to receive mail sent to that address. Remember to export or save any email, OneDrive, or SharePoint data that you would like to keep. Please follow the steps below if you need to save your emails before the account is deleted.


Your student email and O365 data will be deleted at 5:00 PM, March 19th, 2020. Follow the steps listed below to save your data.


If you do not need to save any of the emails or data in your student Office 365 account, no action is needed.

Accessing your Office 365 Student email

  1. Click here to access your Office 365 Student email.
  2. Log in with your Student email address using the format username@mail.umkc.edu and your student email password.

Saving a small number of emails

If you only need to preserve a small number of emails, they can be individually forwarded to a personal or work email of your choice.

Add your Office 365 email to Outlook on your computer

In order to preserve your Office 365 emails you will need to open your Office 365 email using the Outlook applicaiton.
  1. Open Outlook.
  2. Click on File.
  3. Click Add Account.
  4. Give the account a name. Enter your Office 365 email address in the format SSO@mail.umkc.edu. Enter your Office 365 password and confirm it.

  5. Click Next. Outlook will attempt to connect to your Office 365 account. Please be patient as this may take several minutes.
  6. You will be prompted by Windows security for your username and password. Verify your username is set to your Office 365 email and re-type your Office 365 password.

  7. Close and restart Outlook to apply the changes. You may be prompted for your Office 365 username and password a second time.
  8. If you can expand folders and read your Office 365 emails, you have sucessfully configured Outlook.

Creating a PST in Outlook to save your emails

Once you connect your Office 365 account to Outlook, you can export your entire Office 365 mailbox to a PST archive file to be accessed at your convenience.
  1. Open Outlook.
  2. Click on File.
  3. Click on Open & Export.
  4. Click on Import/Export.

  5. Select Export to a file. Click Next.

  6. Select Outlook Data File (PST). Click Next.

  7. Select your Office 365 account. Verify the Include Subfolders box is checked. Click Next.
  8. Click Browse and choose a name and location for the file to be saved. Click Finish to created the file. This will begin saving a copy of your emails to the PST file. Please be patient as this may take several minutes.
  9. Your email has been saved to a PST.
  10. Please keep the file in a safe location such as a shared network drive or cloud storage. Once your Office 365 mailbox is removed, this will be the only record of your past student emails.

Opening a PST to access your saved Office 365 emails

After your emails are saved to a PST you can access them by opening the PST in Outlook
  1. Open Outlook.
  2. Click on File.
  3. Click on Open & Export.
  4. Click on Open Outlook Data File.

  5. Find the PST file you saved earlier.
  6. Click OK. Your PST archive will appear in outlook below your other email account(s).

Saving your One Drive data

Follow the steps below to download and save data stored in your OneDrive account.
  1. Click here to access your OneDrive account
  2. Log in with your Student email address using the format username@mail.umkc.edu and your student email password.
  3. Select the items you would like to download individually or check the box at the top to select all items.

  4. Click Download from the top menu to download a .zip of your selected OneDrive files.
