Courtesy and Volunteer Accounts

What is the difference between a courtesy appointment and a University volunteer?

Individuals with official University courtesy appointments are provided with an email account and SSO to access University systems (e.g., Canvas).  

University volunteers are not provided with an email account, but have an SSO to access technology resources, such as UMKC computers, UMKC wireless, or library databases.

A University volunteer account can access

  • UMKC computers
  • UMKC wireless
  • VPN access from off-campus
  • Library databases
  • Zoom
  • Panapto
  • Remote Labs
  • Qualtrics
  • RedCap*

 

*Need to set an external email address as primary within RedCap to recieve notifications.  

A courtesy appointment can access everything that a volunteer can, plus:

  • Email
  • Outlook Calendars
  • Pathway
  • Canvas
  • FERPA Access
  • Microsoft Office
  • Teams
  • OneDrive
  • Cisco Jabber
  • Precipio
  • Ticketing System

How do I determine if I need a courtesy or University account?

Deciding if an account is required depends on what technology resources the position will need to fulfil their duties. If the position doesn't need access to any of the technology resources listed below, an account is not required.

If you need to request an account, contact your department/ unit's HR representative and ask them to complete a Personnel Action Form (PAF) with a corresponding job code.

  • Courtesy appointments with email - 9993.
  • Volunteer position without email - 9996.

How does this impact my unit/ department?

Effective July 2024UM System will be requiring higher levels of security on all accounts with email, which has a significant cost to the University. 

Units need to determine if their existing courtesy accounts need email.
